General

Splitfast Pty Ltd ACN 627 997 022 and its related entities (referred to in this document as 'we', 'us' or 'our') recognises that your privacy is very important and we are committed to protecting the personal information we collect from you. The Privacy Act 1988 (Cth) ('Privacy Act'), and the Australian Privacy Principles ('APP') govern the way in which we manage your personal information and this policy sets out how we collect, use, disclose and otherwise manage personal information about you, if required.

This Privacy Policy applies specifically to the SplitFast Club Connect mobile application (the 'Application'). By using the Application, you consent to this Privacy Policy.

Types of Information Collected

We may collect and hold personal information about you, that is, information that can identify you, and is relevant to providing you with the services or products you are seeking. This can include your name, date of birth, contact details (including address, email address, phone number), and information about how you use our products and services.

For the Application specifically:

  • Account credentials used to sign in to the SplitFast Portal (email address and password)
  • Athlete information available to you through your club, including names, ages, age groups, and gender
  • Event results and personal bests for athletes at your club
  • Club records, including record holder names and the dates records were set
  • Meet information published by your club, including dates, venues, event programs, and age groups
  • Volunteer role sign-ups, including which roles you have signed up for and any points earned
  • Messages you post or receive through the Application's news and chat features

Portal login required: The Application requires you to sign in with a SplitFast Portal account to access its features. There is no offline or local-only mode — without an active SplitFast Portal login linked to a club, the Application cannot display club results, records, meets, volunteer sign-ups, or news and chat.

When you sign in to the Application, it communicates with the SplitFast Portal to:

  • Verify your identity and the clubs you are entitled to view
  • Download club results, records, meets, and volunteer information for display
  • Upload your volunteer role sign-ups and any messages you post in club news or group chats

Data exchanged with the SplitFast Portal is subject to the separate SplitFast Portal Terms of Use and SplitFast Portal Privacy Policy, which govern how the Portal handles your data.

No in-app purchases: The Application is free to download and use. It does not contain any in-app purchases or subscriptions. SplitFast does not collect, store, or process any payment information through the Application.

This is not an exhaustive list. We may need to collect additional information about you from time to time to provide products or services to you.

You might also need to provide us with personal information about other individuals (e.g. athletes in your family or athletes you coach). If so, we rely on you to inform those individuals that you are providing their personal information to us and to advise them about this policy.

Purpose of Collection

The type of personal information that we collect and hold about you depends on your interaction with us. Generally, we will collect, use and hold your personal information for the purposes of:

  • Providing products or services to you or someone else you know
  • Authenticating your access to your club's information on the SplitFast Portal
  • Displaying live results, personal bests, club records, meet programs, and club news
  • Allowing you to sign up for volunteer roles at club meets
  • Enabling club news and group chat communication
  • Providing customer support and technical assistance
  • Complying with legal obligations
  • Improving the Application and developing new features

Method of Collection

Personal information will generally be collected directly from you through your use of the Application and may be collected by email. We may also collect information other than directly from you where it is unreasonable or impractical to not do so, for example:

  • From your athletics club, which administers athlete records, meet data, and member access through the SplitFast Portal
  • From third parties such as our related entities, business partners, or your representatives
  • From publicly available sources of information
  • From our records of how you use our services
  • From the third parties we list in the section of this policy with the heading 'Use and disclosure'

We will usually notify you in advance when we indirectly collect information, or where that is not possible, as soon as reasonably practicable after the information has been collected.

If you choose not to provide certain information about you, we may not be able to provide you with the products or services you require, or the level of service on which we pride ourselves.

If the personal information you provide to us is incomplete or inaccurate, we may be unable to provide you, or someone else you know, with the products or services you, or they, are seeking.

Mobile Application Permissions

The Application may request access to certain device features and information:

  • Network Access: Required to sign in to the SplitFast Portal and to download and upload club data such as results, meets, records, volunteer sign-ups, and chat messages.
  • Notifications: Used to deliver club news posts, chat messages, and updates about meets and results. You can disable notifications at any time through your device settings.
  • Storage Access: Used to cache club data so the Application can display recently viewed content quickly.

You can control these permissions through your device settings at any time. Revoking network access will prevent the Application from functioning, as it requires an active connection to the SplitFast Portal.

Third Parties

The Application uses the following third-party services:

  • Apple App Store / Google Play Store: Distribution of the Application. Their privacy practices apply to app downloads, installation, and any device-level analytics they collect.
  • SplitFast Portal infrastructure: The Application connects to SplitFast's own backend (operated by SplitFast on cloud infrastructure) to authenticate users and exchange club data. This is a first-party service, not a third party, but data is transmitted over the public internet.

These services may collect limited technical information about your device and app usage. We ensure that any third-party services we use comply with applicable privacy laws and our privacy standards.

Use and Disclosure

Generally, we only use or disclose personal information about you for the purposes for which it was collected (as set out above) or for purposes which are directly related to one or more of our functions and activities. We may disclose personal information about you to:

  • Your athletics club, which administers your access and the data displayed in the Application
  • Third party product or service providers, where required by law
  • Our related entities and business partners for the purposes outlined in this policy
  • Law enforcement agencies or government bodies where required by law
  • Professional advisors including lawyers, accountants, and auditors

Important: Information you post through the Application's news and chat features, and volunteer sign-ups you record, are visible to other authorised members of your club through the Application and the SplitFast Portal.

We are not likely to disclose your personal information overseas, except as permitted by the Privacy Act, unless we otherwise advise you in writing.

How We Use Your Information for Direct Marketing

We may also use your information so that we, our related entities, and other business partners can promote and market products, services and special offers that we think will be of interest to you (which may include products, services and offers provided by a third party). This marketing may be carried out in a variety of ways (including by email, SMS/MMS, or social media) and may continue after you cease acquiring any products or services from us until you opt-out by contacting us using the contact details set out in the Contact section of this policy.

How We Hold Your Personal Information

The security of your personal information is of paramount importance to us. We store your personal information in different ways, including in paper and in electronic form.

Server Storage: Athlete information, results, club records, meet data, volunteer sign-ups, and chat messages are stored on the SplitFast Portal infrastructure operated by SplitFast on cloud servers. Access is controlled through your SplitFast Portal account credentials and club entitlements.

Device Cache: The Application caches a limited amount of recently viewed data on your device to improve performance. This cache is protected by your device's security measures. We recommend using device lock screens, encryption, and other security features provided by your device manufacturer. Cached data is removed when you sign out of the Application or uninstall it.

Data Transmission: When the Application communicates with the SplitFast Portal, data is sent over HTTPS using TLS encryption, in line with iOS's App Transport Security and Android's network security defaults.

We take all reasonable measures to ensure that your personal information is stored safely to protect it from misuse, loss, interference, unauthorised access, modification or disclosure.

If we no longer need your personal information for the purposes for which it was collected or for purposes which are directly related to one or more of our functions and activities, we will take reasonable steps to securely destroy it or permanently remove all identifying features from that information. This obligation is subject to any legal requirement or Court order to retain the information.

Data Export and Deletion

This section describes how users of the SplitFast Club Connect Application can request deletion of their data, what data is deleted in response to such a request, and what data may be retained.

Data we handle and how to delete it

Club data (athletes, meets, results, records, volunteer sign-ups, chat messages)

  • Club data displayed in the Application is owned by your club, not by individual users. To delete athlete, meet, results, or records data, contact your club administrator, who can manage the data via the SplitFast Portal admin interface.
  • To delete chat messages you have posted, use the in-app delete controls where available, or contact your club administrator.
  • To remove your personal SplitFast Portal account access, contact your club administrator or email legal@splitfast.com.

Locally cached data on your device

  • Sign out of the Application to clear cached data on the device.
  • Uninstall the Application to permanently remove all locally cached data immediately.

What is deleted vs. what may be retained

Deleted on request or action:

  • Locally cached data — cleared on sign-out or app uninstall.
  • Club data — deleted by your club administrator via the SplitFast Portal in accordance with the Portal Privacy Policy.
  • Your SplitFast Portal account — deleted by SplitFast on request through legal@splitfast.com.

May be retained for legal or operational reasons:

  • Business records SplitFast is required to retain under Australian tax and accounting law — retained for 7 years from the relevant transaction.
  • Anonymised, aggregated analytics that cannot be linked back to a specific user or device — retained indefinitely.
  • Backup copies of club data held by SplitFast for disaster recovery purposes — retained for a limited period in line with the SplitFast Portal Privacy Policy before being overwritten.

Data Breach Notification

We accept our obligation to keep personal information safe. Should personal data systems be breached or data is misused or lost, then we will take all reasonable and practicable means to contact individuals whose personal information is involved. We will advise such individuals of the extent of the data breach (if known) and advise individuals of the most appropriate means of regaining control of their personal information. If appropriate, we will also report any eligible data breach to the Office of the Australian Information Commissioner in accordance with the Privacy Act.

How You Can Access Your Personal Information

You may access the personal information we hold about you, upon making a written request. We will respond to your request within a reasonable period. We take all reasonable steps to ensure that the personal information we hold, use and disclose is accurate, complete and up to date.

For data displayed in the Application: You can view athlete data, results, records, meet information, and your volunteer sign-ups directly through the Application at any time while signed in. To request a copy of additional personal information held by SplitFast or your club, contact your club administrator or email legal@splitfast.com.

We may decline a request for access to personal information in circumstances prescribed by the Privacy Act, and if we do, we will give you a written notice that sets out the reasons for the refusal (unless it would be unreasonable to provide those reasons).

If, upon receiving access to your personal information or at any other time, you believe the personal information we hold about you is inaccurate, incomplete or out of date, please notify us immediately. We will take reasonable steps to correct the information so that it is accurate, complete and up to date.

If we refuse to correct your personal information, we will give you a written notice that sets out our reasons for our refusal (unless it would be unreasonable to provide those reasons), including details of the mechanisms available to you to make a complaint.

If you wish to access any of your personal information that we hold or would like to correct any errors in that information, please contact us using the contact details set out in the Contact section of this policy, so that we can consider and respond to your request. We may apply an administrative charge for providing access to your personal information in response to a request.

Transfer of Personal Information

If you are located outside of Australia, you acknowledge and understand that your personal information will be transferred, processed and stored in Australia in accordance with this privacy policy.

When we disclose personal information in accordance with this privacy policy, it may be accessed from, transferred to, and/or stored outside the country in which you are located. The privacy laws in that country may be of a lower standard than those in your own country. We will use our best endeavours to safeguard your personal information in accordance with this privacy policy.

Children's Privacy

The Application is intended for use by athletes, parents, coaches, and club officials at athletics clubs that subscribe to the SplitFast Portal. Account access is provisioned by club administrators. The Application is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13 directly. If you are a parent or guardian and believe a child under 13 has provided personal information to us, please contact us at legal@splitfast.com and we will take steps to delete that information.

Users aged 13 to 17 should review this Privacy Policy with a parent or guardian and obtain their consent before using the Application.

Parents, coaches and club officials whose athletes are minors are responsible for ensuring appropriate consent has been provided for those athletes' information to be entered into the SplitFast Portal and displayed through the Application.

Complaints

You may use the contact details below to notify us of any privacy complaint you have against us, including if you think that we have failed to comply with the APP or any binding APP code that has been registered under the Privacy Act. We are committed to acknowledging your complaint in a prompt manner and will give you an estimated timeframe for when we will respond to your complaint. We will take reasonable steps to investigate the complaint and respond to you.

If you are unhappy with the way that we handle your complaint you may make your complaint to the Office of the Australian Information Commissioner ('OAIC') or, if you are located outside of Australia, the body responsible for administering the privacy laws in your country. Changes to Our Privacy and Information Handling Practices

This privacy policy is subject to change at any time. Please check our privacy policy on our Site regularly for any changes. We will notify users of the Application of significant changes through app updates or notifications where practical.
